UN-RECEIVING AN SIPL OR INVENTORY RECEIPT

 
After receiving items into your available inventory, you can no longer edit the pricing or specifications of the items received. The prices and quantities you enter will carry with the items and factor into sales costing reports. 

The easiest way to open an SIPL or Inventory receipt for editing is click "Unreceive Inventory" on the page which it was received. 
NOTE: If items have already been allocated to holds/sales, they must be un-allocated before the Unreceive option will show up.

After Unreceiving, you will notice your options revert back to what they were before receiving. The "Add Slab" button will also become available again, and the inventory will be listed as being in-transit.

The inventory lines on the SIPL or Inventory Receipt will update with the appropriate icon when items are added to holds or sales orders. In the event that items have been put on holds/sales after receiving, you will need to remove all items from the holds/sales before you're able to unreceive to make changes. ​

INVENTORY RECEIPTS

 
In many cases, companies receive ordered job materials before they receive an invoice from their supplier. This is particularly true for stone fabrication companies or any company that orders materials on an as-needed basis. 

To receive inventory into your system without having to enter the final invoiced amount, you can use the Inventory Receipt feature on purchase orders.

Clicking to add a new inventory receipt will take you to a screen where you can select / un-select the materials you are currently receiving.

Clicking the button to "Add Inventory Receipt" will take you to a page that appears to be identical to an SIPL page. 

The difference between an SIPL and an Inventory Receipt is the process, not the appearance.

After entering your packing list details and clicking the "Receive Inventory" link, you'll notice a change in the options listed.

The last step on Inventory Receipts is to "Receive Invoice" whenever your supplier sends the invoice for the materials you ordered. Clicking "Receive Invoice" will simply take you back to update the header information of the page with the...
  • Supplier's invoice number
  • Invoice date
  • Due Date
  • Unit Prices

Updating the inventory receipt with these details will create a payable in your system towards the designated inventory supplier.

PACKING LIST ENTRY

 
NOTE: If you have yet to add a PO and SIPL, please first follow the steps outlined in the Create New PO page, then follow the steps for Adding an SIPL to a PO until you get to this step.

On an SIPL or Inventory Receipt, you can find buttons for "Add Slab" or "Add Detail" on the lower half of the page.

"Add Slab" will give you fields for entering slab dimensions. 

"Add Detail" is for tile, sinks, or other products which the size is predetermined. You will only need to enter a total quantity here. ​​

ADDING AN SIPL TO A PO

REMINDER: You must have created a Purchase Order for the materials before adding the invoice and packing list details. ​​


1.) Locate the Purchase Order for which you need to add the invoice and packing list details. Click "All POs" from the Purchasing Home and then search/select the PO.

2.) Once you're at the Detail Page for the corresponding PO, click "+ Supplier Invoice/Packing List" to continue.

3.) On this page...
  • Enter as much applicable info as possible. All required fields are marked in RED.
  • The supplier's invoice number and date are entered on the top of the page.
  • You can de-select line items from the PO which are not being invoiced at this time. These will be available for adding to an another SIPL if de-selected. 
  • The exact quantities and unit prices given from the SIPL should replace the numbers originally entered on the PO.
  • Click "Add Supplier Invoice" when you're finished filling in all applicable fields.

​4.) On the SIPL Detail Page, you'll find a step-by-step list of instructions for the receiving process (Full article on first step here).

  • Enter Packing List - To enter the inventory details from your packing list, scroll below to click "Add Slab" or "Add Detail" to the appropriate product. (CLICK HERE FOR MORE INFO)
  • Update Allocation - You can create a link between this purchase and a sale needing the inventory. Once the inventory is received, you can quickly allocate it towards the sale. 
  • Print Receiving Worksheet - The items from the "Enter Packing List" step above will be listed on this sheet. You can take it with you to measure the slabs and then when you return you can click "Update Slab Info" to enter the corrected received sizes.
  • Print Receiving Worksheet No Sizes - This is the same printout but it does not include the Packing List sizes previously entered. 
  • Print Barcodes - A barcode is created for each unique serial number in the system. As a best practice, you should print these as soon as possible.
  • Receive Inventory - This is your last step before the items show up in your list of available inventory. They will change from being "In-Transit" to "Available" after receiving.

SUPPLIER INVOICE / PACKING LISTS (SIPL)

 
Supplier Invoice / Packing Lists (SIPL's) are one page in Stone Profits which you enter the details from two different documents obtained from your inventory supplier. 
  • Supplier Invoice - Document sent to your company which includes the dollar amounts due for materials provided. 
  • Packing List - Document listing each individual inventory item's details (Lot #, Bundle #, Slab #, Dimensions).

​The invoice and packing list may be sent at the same time, separate times, or combined as only one document. The form and layout of these documents is dependent on your supplier. ​
