INVENTORY HOLDS

 
Items can be placed on hold in SPS to be disabled from allocation to any other transactions until the hold is released. All items on hold will be marked with a hand icon in your inventory searches. 

Find your list of Holds in the center region of the Pre-Sales Home (shown below).

CREATING A NEW HOLD

 
There are multiple ways to begin the creation of a new hold. Whichever way you go about it, you must ALWAYS select specific items to place on the hold. You may not put a product on hold if you do not have any available in your SPS inventory. ​
 NEW HOLD PROCEDURE

1.) From the Pre-Sales Home, click the plus sign near the "Holds" box to begin creating a new hold. 

2.) Fill out all appropriate information on the Create New Hold screen, then click "Add Opportunity + Hold" to continue to the next page. 

NOTE: Opportunities are always created at the same time as holds or other pre-sales events. Click here for more info about opportunities.
3.) You should now be on the inventory search & selection screen. Using the field provided on the right side of the page, type in the product name you're looking for and click "Search" ​

4.) Your search results appear below. Notice the "Available" column listing a summary of what can be selected within each product. Click the name of the item you're putting on hold. ​

5.) Your available inventory items for the product will drop down below. Click the checkboxes corresponding to the items you're putting on hold.

6.) The items you selected should now appear on the left side of the page. Click "Update Hold" to finish creating the hold, and the Hold Detail Page should appear. ​

CREATING A HOLD FROM THE CART
Another route of placing inventory on hold is adding the items to your cart and then adding them on to a hold afterwards. 

Add items to your cart by searching for them in your Inventory search and then checking the checkbox parallel to the desired items. As you select items from your inventory list, a pop-up box will appear with options to add the items to a transfer, hold, or sales order (shown below). Simply click "Add Hold" to be taken to the new hold screen. ​

​You can also access your cart by clicking into it from the bar at the top of your system. ​

Clicking the Hold, SO, or Transfer buttons in the cart will add the items in your cart to the respective transaction. ​

RELEASING A HOLD

 
When you need to adjust held inventory or use it for other transactions, you must first release the inventory from the hold. Releasing a hold differs from deleting a hold because released holds are still kept on record in the system, while deleted holds are removed from the system altogether. 

​There are multiple ways to release holds. All are listed below: ​
METHOD 1
On the Hold's detail page, there is a "Release this Hold" link on the upper-right side of the page. ​

Clicking the action button on the detail page will also give you the option to "Release this Hold."

METHOD 3
This option quickly allows you to adjust the held inventory and/or add the inventory to a transaction after it is released. At the bottom of the Hold detail page, a button titled "Release Inventory & Add to Cart" will release the hold, then add all inventory items from the hold to your cart to make adjustments/allocations. ​

PRINTING HOLD LETTERS & LABELS

 
Hold letters can be printed out and/or emailed from Stone Profits as a confirmation for your customer. Additionally, hold labels can be printed from Stone Profits as a way for you to physically mark your slabs as unavailable for using on other orders. ​
You can print hold letters/labels from multiple pages in the system. A quick option for printing is in the list of holds (shown below). Simply click the printer icon parallel to the hold you want to print. ​

  • Print Hold Info Letter - Homeowner: This printout lists which inventory items are being placed on hold and the job info relative to the hold. By default, the "Homeowner" hold letter does not show prices, because your prices may vary from the price they are getting from the fabricator, builder, or whoever you'll actually be billing for the materials. 
  • Print Hold Information Letter - Customer: This printout is identical to the "Homeowner" hold letter except it includes the prices for materials by default. This is sometimes called the "Fabricator" hold letter. 
  • Print Hold Labels: These are labels customized by your company. They are placed on inventory items to mark them as being on hold to avoid accidental use of the items for other jobs. 
  • Print Hold Homeowner- Expiry: After a hold is past the expiry date designated when it was created, the option becomes available to send a notification letter about the materials pending release from the hold. This can be used as a warning to the customer to contact your company if they would like to keep the materials on hold. The "Homeowner" hold expiry print does not include prices. 
  • Print Hold Fabricator - Expiry: This letter is identical to the "Homeowner" hold expiry print except it includes prices on the materials on hold. 
  • Print Barcodes: This is a quick way to print the barcode tags for the items listed on this hold if they need to be placed/replaced.
